Merging Contacts

When you have duplicate contact records, you can merge them into a single record. Merging combines all data, activities, and associations from both contacts.

When to Merge

Outsprint helps you identify duplicates in two ways:

  • On creation -- If you create a contact with an email that already exists, you'll see a warning
  • Background detection -- Outsprint checks for contacts with similar names and companies and surfaces suggestions

Merge Preview

Before the merge happens, you see a side-by-side comparison:

  • Primary record (kept) -- The contact that survives after the merge
  • Secondary record (merged) -- The contact that will be absorbed
  • Merged result -- A preview of the combined record

The preview shows how fields will be resolved:

  • Fields from the primary record take priority
  • Missing fields are filled from the secondary record
  • Email addresses from both records are preserved
  • Activity counts are combined

What Gets Merged

When you confirm the merge:

  • All deals from the secondary contact move to the primary
  • All activities (emails, calls, notes, meetings) are combined
  • All tasks are reassigned to the primary contact
  • All list memberships are transferred
  • The secondary record is soft-deleted
  • A redirect reference is kept for 90 days

Choosing the Primary Record

You select which contact becomes the primary (surviving) record. Choose the one with the most complete data or the most recent activity.

Warning

Merging cannot be undone. Review the merge preview carefully before confirming.
